This describes how mail goes back and forth in such a way that users do not lose mail during the migration phase, regardless of stage of migration. During coexistence, forwarders are placed in both environments for mail to flow to the correct SMTP servers. On the Local Exchange Deployment, local mailboxes stay as is, but mailboxes established on the Microsoft Online Services topology will have a target address associated with the local account that forwards s to the MODRD. This occurs by adding a forwarding address to the AD account for the user. On the Microsoft Online environment, Exchange Online mailboxes will have both SMTP addresses supplied for active accounts. Disabled accounts will still have an SMTP address associated with them for the local Exchange environment. Let’s look at the mail flow in this scenario. When Joe launches Microsoft Office Outlook using the single sign on application, he is authenticated to Exchange Online. When he sends mail: TO: users in joe’s domain AND the to: user has MicrosoftOnline acct: - mail is delivered directly to the Microsoft Online mailbox. It is not routed to the net or to the on premise Exchange Server TO: any other user: - Mail is routed like any mail server. MicrosoftOnline looks up the MX record and contacts the mail server listed there. If Joe logs in to his local Exchange Online mailbox and sends mail, all mail is routed through the local Exchange server to the correct mailbox. If someone sends mail to Joe, if the mail originates outside of MicrosoftOnline.com, it is directed to the on premise Exchange server and then forwarded to Exchange Online, otherwise, it the mail is directly placed in his Microsoftonline.com mailbox. Note that in the co-existence scenario, the on premise Exchange server does not see mail that is sent from one Exchange Online user to another. For this reason it is recommended that your end result in migration planning should have mailbox for each user locally, or on Exchange Online, but not both. The custom domain must be marked as an “External Relay” domain within the Microsoft Online Services domain configuration as shown. In addition, you do NOT enable Inbound Messaging for this domain. Mail for the custom domain is not received from mail servers on the internet. The on premise mail server forwards all mail to Exchange Online. More details on this later. Once you have created, validated, and set the domain for External Relay, you should set the domain to be the “default user account domain” (see the checkbox above) if you want new users’ addresses to automatically be use the new domain. In addition, you will need to go to existing users in the Administration Center and add the new domain as a Proxy address. Note that enabling inbound will not have an adverse impact on the configuration at this stage. This is an optional, but recommended step. Using TLS/SSL, all traffic to and from Microsoft Online will be encrypted. Usually, this involves obtaining a certificate for your Exchange Server which may take some time, so plan this into your schedule. Enable Co-existence in the Microsoft Online Administration center. This is simple button that you press in the Administration Portal. Note: it is probably best to defer explanation of what this button does till later as full details have not yet been reviewed. When set, and is received for user that does not have mailbox on Microsoft Online, instead of sending an error, the MX record for the domain is located and mail sent to that listed server. In this case, that server will be the on premise Exchange Server. The tool also copies distribution groups, contacts, journal entries, notes, and but not security groups or shared folders. Note that the user account passwords are not copied. The user account in Microsoft Online is a related, but completely separate security entity from the user’s AD account. They are not members of the same forest, nor trusted domains. This is necessary to insure security in the MicrosoftOnline multi-tenant, authenticated, high scale environment. The directory synchronization tool will synchronize the GAL, enable target addresses (as mentioned earlier for mail forwarding), and pre-populates the user list within Microsoft Online Services for easy account activation. Please note that in the initial release of Microsoft Online Services, free busy schedule information cannot cross between Microsoft Online users and local users. Free busy scheduling works normally for users that are local or for users that are online, but not across the boundary. Microsoft is actively working on enabling this capability in a future release or update. AWS= Administration Web Services that resides in Microsoft Online Services. This graphics on this slide show how mail is routed from Microsftonline.com to the local exchange server when mail is sent from someone who has an active Microsoftonline.com account, to someone who has an online account, but it is not active. This situation occurs during a staged rollout where some accounts dwell on line and others are on premise. When accounts are first provisioned within the Microsoft Online Services environment, they are disabled. These disabled accounts are set to forward mail to the local exchange server. This is needed as users who have online accounts will see the ONLINE mailbox in the GAL. If they send to that GAL entry, the mail is properly forwarded to the local exchange server. Once a user account has been activated, the target/forwarding address is dropped and the user acquires an Microsoft Online Services mailbox. This mailbox can be configured to use either domain (the Microsoft Online Services provided domain, or the custom domain) as the domain. A majority of the time, you will want to specify the vanity domain (that is the custom domain) as the default address. When it comes to migration, you will want to move the user who has an online account into the Microsoft Online Services environment as soon as possible, and also disconnect the old mailbox as soon as possible. This will avoid duplication of mailboxes which can be difficult to consolidate in the long run. The Mailbox Migration tool will aid in copying mailbox items to the Microsoft Online Services account. You can disconnect the old mailbox in the Migration Tool. We start with the Domino Server as the source environment, and Exchange Online as the target. But you will also need an on-premise Active Directory in place, and we’ll discuss why in a few moments. Click 1: Our migration process starts just like an on-premise migration, and that’s with a pre-migration assessment. Customers can use the MessageStats Report pack for Lotus Notes to analyze their existing environment and plan their migration. Microsoft’ standard offering hosts a maximum of 5,000 users, so pre-migration assessments will be very helpful in order to discovery unused or orphaned mailboxes that do not need to be migrated to the cloud. Click 2: After the pre-migration assessment is complete, it’s time to start the migration. First, NME merges the Notes objects out and creates a user object for them in the on-prem Active Directory. These objects are not activated and do not need to be mailbox enabled. If there are certain objects that you don’t want in the hosted Exchange environment, then you can remove them from the staging AD before synching on-prem and online Ads. Then, we provision any groups onto the objects in the on-prem AD. Click 3: Next, we use Microsoft’s Directory Synchronization tool to synchronize the on-prem and online AD. There are two reasons for setting up the staging Active Directory. First, native tools are unable to directly migrate Domino directory data to the cloud. In addition, even if a Notes customer has an existing AD, the native tool syncs up ALL user objects in AD to the hosted Exchange environment, whether they are used or unused. So it's a best practice at Quest to set up a new AD environment where you have control over what objects you want and can provision up groups. This again is especially important if you are migrating to a standard service where there is a 5,000 user limit. Current, there is no way to systematically enable accounts in MSOL using the Notes Migrator for Exchange. So we provide steps for users to be manually enabled. Click 4: NME then directly migrates and calendar data from Notes to Exchange Online. Click 5: Because hosted service is still in its infancy, there are still some limitations with the migration process. 1. as we mentioned earlier, there is no automatic mailbox enabling. So there are a few steps users must take to enable their accounts. 2. Setting forwarding rules in the hosted environment is not possible due to permissions allowed by Microsoft. This is not a big deal for the 500 user companies who might be migrating during off hours or over a weekend. It’s more of an affect on the 2-3k user customers. 3. Finally, Quest management tools such as Archive Manager, MessageStats, SOM and PAUC do not integrate at this time with Exchange Online. Customer evidence PointBridge recently used NME to migrate Eddie Bauer to Microsoft Exchange Online. Phase I: Read the documentation about all the tools and the process. These are fairly small documents, so they shouldn’t take too long to go through. Phase II: Create the Microsoft Online Service company environment, and then add & verify your custom company domain as External Relay. Preferably, at this time, set your custom company domain as the default user account domain. Phase III: Setup SSL/TLS for your Microsoft Exchange Server for secure access. Again, make sure your custom company domain is set up as External Relay. This will enable communications during the migration phase from mailboxes that have been migrated with those that have not been. Double-check your Active Directory user properties to make sure they are filled in as much as possible to avoid delays in synchronization. Also, verify your default SMTP address for all accounts are set to the custom domain. Finally, install and configure directory sync. It is a good idea to run the synchronization immediately after it has installed. That way if there are any problem synchronizing, you can double-check them now, and run the tool again. Phase IV: Install and configure the Migration Tools. Then (in small units) activate accounts that have synchronized with Microsoft Online, and follow that up with Mailbox migration for those accounts. Repeat this process until all the accounts you want to migrate over to Microsoft Online Services have activated and have their mailbox content migrated. Phase V: Disconnect mailboxes (basically delete the exchange mailbox and setup forwarder on the AD account to Microsoft Online Services). Disconnecting mailboxes is part of the Microsoft Online Migration Tools MMC console. Finally, enable Incoming in the Admin Center, use the MX record supplied (as part of the enabling process) to redirect your current domain’s mail to Microsoft Online Services, and change your custom domain to be Authoritative. 4.
